GENERAL INFORMATION, POLICIES,
TERMS AND CONDITIONS

Reservations
Function rooms are assigned by the number of people expected for each event. We offer both half day (0-4 hours) and full day (4-8 hours) rates on our meeting rooms. To make arrangements for catering services and to reserve meeting rooms for events held at the Clark Kerr Campus, please contact a Catering and Events Coordinator at 510-642-9217.

Smoking
The University has a no smoking policy in all public areas. Smoking is prohibited in any common area (e.g. meeting rooms, hallways, restrooms, dining rooms and patios) or within 20 feet of all exterior building entrances and exits.

Signs
We provide signage at main entrance and in front of each meeting room. Posting of signs is permitted on easels and sign standards, which can be provided.

Tasting
Five selections of the appetizers and three selections of the entrée can be sampled at a per person fee. A minimum of seven working days notice is required to make arrangements for tasting.

Food and Beverages
All food and beverages (except alcohol) must be provided by our catering services. Removal of food and beverages is not allowed, due to liability once the product leaves the premises.

Alcohol Policy
Alcoholic beverages may be served on University premises. However, you must purchase alcoholic beverages and arrange for delivery to Clark Kerr Dining Services at least one hour prior to the start of the event. A "Service of Alcoholic Beverages" form must be signed and completed prior to the function. Alcoholic beverages may only be consumed in the location designated for the event. Cash bars or exchange of tickets for alcohol are not permitted, except when provided by a licensed bartender which can be arranged for a fee.

When alcoholic beverages are served, a non-alcoholic beverage must also be served. You are responsibility for the conduct of your guests; no one under the age of 21 may be served alcoholic beverages.

Any alcohol not consumed will be returned to the client at the conclusion of the event or stored for no more than 24 hours.

Guarantee
As a form of acceptance of arrangements for your event, you will be asked to sign off on your planning sheets to confirm all arrangements.

Please provide the final guarantee number by 10:00am, seven working days prior to the function. We prepare food and provide seating (up to the room capacity) for five percent over your guarantee. You will be financially responsible for 100% of your final guarantee number or the actual number of guests served, whichever is greater. If a guarantee number is not provided by the due date, your last estimate will be used as your guarantee.

Catering and Events Cancellation Policy
If you should need to cancel your function after the original placing of your order, please contact us a minimum of 14 calendar days prior to the event date to avoid a cancellation fee.

Cancellation fees cannot be applied to future events. The cancellation fees are:
8-14 days prior to event, 75% of estimated cost
0-7 working days prior to event, 100% of estimated cost

Prices
All listed prices are subject to change without notice. Administrative fees, sales and unrelated business income tax will be charged when applicable.

Gratuities
In keeping with University policies, employees may not accept gratuities.
